The romantic promise of AI

On social media, AI sometimes seems like a digital employee who never sleeps, never makes mistakes, and takes over all the tedious work for you.

AI gurus show how you can automate entire processes with just a few smart commands. According to their sales pitches, you’ll soon hardly have to worry about anything anymore.

That sounds appealing.

Especially for passionate entrepreneurs who would rather help customers, make new plans, and pursue opportunities than collect receipts.

However, this creates a false expectation. Business owners think that AI will completely take over their administrative tasks—including all the tasks that are currently left undone.

But AI doesn't automatically rid you of bad habits.

If you don't keep records, AI can't process them. If you mix personal and business payments, context is still needed. If your records are incomplete, you're essentially just automating the incompleteness.

It's like getting yourself into trouble faster, so to speak...

AI doesn't just log you in everywhere

A common expectation is that AI will log in to each provider on its own.

The AI assistant will then open an account for you with a software provider, phone company, or online store. It will then locate the correct invoice, download the document, and file it in your records.

In practice, it usually isn't quite that simple.

Suppliers use different systems. Login methods vary. There are multi-step security measures. Invoices are stored in different locations. Sometimes a different employee receives the documents. And sometimes there isn’t a clear invoice at all.

Technology can automate part of this process. But for that to happen, a reliable process must first be in place.

That's the less romantic truth.

AI speeds up a well-designed process. AI doesn't turn a messy process into good accounting.

We were already automating things before everyone started talking about AI

At De Boekhouders Boutique B.V., we have been using automation for years.

We are Moneybird experts and know how to set up administrative processes efficiently. Moneybird uses various smart techniques to process transactions and documents more quickly.

In addition, we use Easybooker in combination with Moneybird. Easybooker processes about 80 percent of our practice’s invoices automatically. With a few targeted adjustments, we can then process many of the remaining invoices as well.

That saves a tremendous amount of time.

But even after all that automation, one major bottleneck remains.

Human input.

An automated system is excellent at processing incoming invoices. However, the system cannot process a missing document. Nor can it always determine why a business owner made a particular payment.

That's where the real work begins.

After earning my bachelor’s degree in Business Economics, I worked for five years in planning and control for the government and five years in IT, with a focus on financial processes. In practice, I often see the same pitfall: organizations expect software to solve their problems, even though it’s not yet clear exactly what they want to achieve. My advice is therefore simple: first standardize your processes, and then automate them step by step. That way, you’ll use technology in a targeted manner and truly take your organization to the next level.

The problem is often not the software

Many of our customers are driven entrepreneurs. They spot opportunities, make quick decisions, and are eager to move forward.

Those are valuable qualities.

Some entrepreneurs have ADHD. Others simply have a packed schedule. Their attention is focused on customers, employees, growth, and new plans. The paperwork can wait.

However, “later” often doesn't come until the end of the quarter.

  • Where is the receipt?
  • Is there an invoice?
  • Can the business owner still request this?
  • Or should we record the expense as a checking account transaction or a personal withdrawal?

Entrepreneurs often find that last outcome particularly frustrating. After all, they still know that the expense was for business purposes. The only problem is that there is no supporting documentation in their records.

A second risk arises when business owners start using AI on their own without first understanding what constitutes proper bookkeeping.

Automation seems simple. You connect a few systems, set up some rules, and let the technology do the work.

  • But when are the books considered complete?
  • When is data processing lawful?
  • Which expenses are business-related?
  • When can you deduct VAT?
  • What documents do you need to keep?
  • And which transaction corresponds to which invoice?

Without this knowledge, “automatically” quickly becomes “automagically.”

The system seems to handle everything. The records look neat and organized. All transactions have been properly recorded.

But in the meantime, a payment may have been linked to the wrong invoice. A credit memo may have been processed as a regular invoice. A personal expense may be listed among business expenses. Or an outstanding invoice may appear to have been paid, even though the payment actually belongs somewhere else.

Then your accounting isn't efficient.

You were able to process the error more quickly.

A green checkmark doesn't mean your accounting is in order

Software tends to give users a sense of control.

A transaction is marked with a green checkmark. An invoice is removed from the to-do list. The dashboard indicates that everything has been processed.

That feels good.

But a green checkmark simply indicates that the system has performed an action. It does not automatically mean that the processing is correct in substance.

Proper bookkeeping requires more than just identifying amounts and invoice numbers. The records must be complete, accurate, and verifiable. Decisions must reflect the reality of the business.

That is why professional expertise remains essential.

Not to perform every task myself, but to set up the process properly and monitor the results.

Is AI really cheaper than an accountant?

For many business owners, saving money is a key reason for using AI.

Why pay for an accountant when AI can do the work faster and more cheaply?

That calculation seems logical. Yet important costs are often overlooked.

AI isn't free. Every processing task requires tokens, software, integrations, and technical infrastructure. As you process more documents and transactions, those costs can add up significantly.

As a result, the cost of AI can be just as high as the cost of an accountant. In some situations, it can even be higher.

And the work isn't done yet.

The results must be checked afterward. Incorrect links must be corrected. Missing documents must be requested. Incorrect entries must be corrected.

This requires additional man-hours.

The problem is that checking and correcting usually requires more expertise than the original data entry work. An experienced auditor or financial specialist costs more than someone who simply enters invoices.

You save money up front but end up paying more later on.

Cheap automated processing thus becomes expensive manual correction.

The right question, therefore, is not how many accounting hours AI can replace.

The right question is what a complete, accurate, and audited set of books ultimately costs.

Real savings come when AI, good processes, and expert oversight work well together—not when you try to completely remove the accountant from the process.

Your business is more than just invoices

Company owners also frequently forget that not every financial decision belongs solely in the books.

Certain decisions require official minutes, board resolutions, and sometimes supplementary agreements.

Consider agreements between the director/major shareholder and the company. Consider loans, dividends, major investments, or other decisions with legal and tax implications.

A correct entry alone is not enough.

The records can show what happened financially. The supporting documents document why it happened, who made the decision, and what agreements apply.

That, too, is part of a healthy business.
