AI is now capable of an impressive range of tasks. But AI can\u2019t find an invoice that was never submitted. AI can\u2019t determine what you meant by a payment you made three months ago. And AI can\u2019t force you to scan the receipt right after a business lunch.<\/span><\/p>\n

That\u2019s exactly the difference between automation and \u201cautomagic\u201d thinking.<\/span><\/p>\n

The romantic promise of AI<\/b><\/h2>\n

On social media, AI sometimes seems like a digital employee who never sleeps, never makes mistakes, and takes over all the tedious work for you.<\/span><\/p>\n

AI gurus<\/b> show how you can automate entire processes with just a few smart commands. According to their sales pitches, you\u2019ll soon hardly have to worry about anything anymore.<\/span><\/p>\n

That sounds appealing.<\/span><\/p>\n

Especially for passionate entrepreneurs who would rather help customers, make new plans, and pursue opportunities than collect receipts.<\/span><\/p>\n

However, this creates a false expectation. Business owners think that AI will completely take over their administrative tasks\u2014including all the tasks that are currently left undone.<\/span><\/p>\n

But AI doesn't automatically rid you of bad habits.<\/span><\/p>\n

If you don't keep records, AI can't process them. If you mix personal and business payments, context is still needed. If your records are incomplete, you're essentially just automating the incompleteness.<\/span><\/p>\n

It's like getting yourself into trouble faster, so to speak...<\/span><\/p>\n

AI doesn't just log you in everywhere<\/b><\/b><\/h2>\n

A common expectation is that AI will log in to each provider on its own.<\/span><\/p>\n

The AI assistant will then open an account for you with a software provider, phone company, or online store. It will then locate the correct invoice, download the document, and file it in your records.<\/span><\/p>\n

In practice, it usually isn't quite that simple.<\/span><\/p>\n

Suppliers use different systems. Login methods vary. There are multi-step security measures. Invoices are stored in different locations. Sometimes a different employee receives the documents. And sometimes there isn\u2019t a clear invoice at all.<\/span><\/p>\n

Technology can automate part of this process. But for that to happen, a reliable process must first be in place.<\/span><\/p>\n

That's the less romantic truth.<\/span><\/p>\n

AI speeds up a well-designed process. AI doesn't turn a messy process into good accounting.<\/span><\/p>\n

We were already automating things before everyone started talking about AI<\/b><\/h2>\n

At De Boekhouders Boutique B.V., we have been using automation for years.<\/span><\/p>\n

We are Moneybird experts and know how to set up administrative processes efficiently. Moneybird uses various smart techniques to process transactions and documents more quickly.<\/span><\/p>\n

In addition, we use Easybooker in combination with Moneybird. Easybooker processes about 80 percent of our practice\u2019s invoices automatically. With a few targeted adjustments, we can then process many of the remaining invoices as well.<\/span><\/p>\n

An automated system is excellent at processing incoming invoices. However, the system cannot process a missing document. Nor can it always determine why a business owner made a particular payment.<\/span><\/p>\n

My advice is therefore simple: first standardize your processes, and then automate them step by step. That way, you\u2019ll use technology in a targeted manner and truly take your organization to the next level.<\/p>\n<\/div><\/div>
